Data Deletion & Retention

POPIA gives data subjects the right to have personal information deleted once it is no longer needed. DocAssure honours this with a two-stage model that frees your storage immediately and, critically, leaves no remnants behind a permanent delete.

1. Move to Trash

Deleting a file moves it to a recoverable Trash. It is removed from your storage count and from AI search the moment it is trashed β€” so deletions reflect instantly β€” but the file itself is retained so you can restore it.

2. Restore (within 30 days)

Anything in Trash can be restored, which re-activates it for storage and AI search exactly as before. Nothing is lost during the recovery window.

3. Permanent erasure

After 30 days β€” or immediately if you tap β€œEmpty trash” / β€œDelete forever” β€” the file is physically purged everywhere: the encrypted object, its database record, its AI vector embeddings, and its knowledge-graph entities. This is irreversible.

Why this matters: a β€œdeleted” document that still lingers in a search index or a derived knowledge graph is still personal information being processed. Purging the vector embeddings and graph entities alongside the file β€” not just hiding it β€” is what makes the erasure genuine under POPIA. The 30-day window balances that against accidental-deletion recovery, and runs automatically so nothing is retained longer than the policy allows.
